Overall Job Description

The Administrative Assistant is responsible to provide any and all kinds of administrative assistance to the Client(s) in the performance of their day-to-day work.

Job Responsibilities
  • Overall administrative assistance to the Client(s) and/or Team
  • Creates reports and deck/presentations as required, requested, or needed
  • Attend meetings as requested to document minutes and actions, and follow-up or coordinate with concerned individuals
  • Receive and make outgoing calls as directed by the Client(s) or Team
  • Assist with the planning and implementation of departmental events and activities
  • Draft and send announcements on behalf of the Client
  • Manage tight deadlines for producing reports and outcomes required
  • Maintain confidentiality and practice professional discretion
  • Responsible for providing secretarial, clerical, and administrative support in order to ensure that the services are provided in an effective and efficient manner.
  • Manage calendars and ensure that all activities and markers are up to date
  • Arrange meetings, conferences, and other internal and external activities
  • Plan and prepare all travel-related needs (i.e. flights/trains, hotels, cars, itinerary, etc.) as requested
  • Liaise with business support groups for and on behalf of the stakeholder allocations
  • Manage any other duties as reasonably requested by all stakeholder allocations 
  • Prioritize, manage multiple assignments, and communicate the status and progress of assignments in a timely manner
  • Any and all administrative task and responsibilities requested by the Client(s)
Desired Skills and Qualifications:
  • Bachelor’s Degree Holder
  • 3 years of relevant experience as Administrative Assistant
  • High degree of accuracy and attention to detail
  • Proficiency with Microsoft Applications
  • Highly organized with a strong attention to detail
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level of emotional, verbal, and written communications skills.
  • Excellent communication skills
  • Comfortable in a fast-paced environment
  • Approachable, professional, and discrete, and personable
  • Can work under pressure and with minimal supervision
  • Willing to work on US schedule (night shift)
