With Firsthand Experience in Healthcare Operations and Compliance
When a home health agency tells me they need administrative support, the second question is almost always the same: does your team know our system? In fact, that is the right question. A virtual assistant who is excellent in the abstract and unfamiliar with your EMR is, for the first several weeks, a training project rather than a resource. Unfortunately, the person doing the training is your scheduler or your clinical manager, which is to say the person who was already too busy.
I am going to answer it differently than most staffing companies will.
You are going to read a lot of vendor pages this month claiming EMR experience, and every one of them will sound the same. Numbers do not settle it, because nobody can check them. Instead, this post names the WellSky roles of the virtual assistants we have available now. It explains what each one does inside your system and where that work stops. Then it gives the only test that actually proves anything. Meet the virtual assistant before you commit and ask her what she has done in WellSky. For the full picture of every administrative role a VA fills across home health and hospice, start with our complete guide to home health and hospice virtual assistant roles.
What "Experienced" Means Here
There is a distinction worth insisting on with any vendor, including us. In fact, years on the platform are not the same as years in the role. A scheduler with eight years of scheduling experience and two months in WellSky is not a WellSky-experienced scheduler. Still, vendors quote whichever number is larger.
When we call a virtual assistant WellSky-experienced, we mean working years inside the platform itself. More than nine in ten of our home health virtual assistants with WellSky experience have at least a full year in the system. More than half have two years or more. That distribution is what matters. It means you are not choosing between one senior person and a group of trainees.
Ask any staffing vendor how many of their people have two or more years in your specific EMR. Then ask to meet one. Anyone can answer the first question creatively. However, nobody can fake the second.
Availability is the other half of the question, and the answer is simple. Our home health virtual assistants experienced in WellSky are available for placement now. They are not currently assigned to other agencies. If you need a scheduler with multiple years of WellSky experience, we have one available to speak with this week.
WellSky Virtual Assistant Roles We Have Available Now
These are the WellSky roles for our home health virtual assistants. Depth is not even across all of them. Every role below is available for placement now. The third column shows typical experience on the platform because depth isn’t even across functions, and you should know that before you call, not after.
Role available | What they handle in WellSky | Typical WellSky experience |
Scheduler | Visit scheduling and coordination, same-day callout coverage, open and unconfirmed visit tracking. | 2+ years |
Documentation & OASIS QA Specialist | OASIS completeness and consistency review, submission deadline tracking, flagging for clinician review | 2+ years |
Intake Coordinator | Referral logging, intake documentation, admission readiness, referral source follow-up | 1–2+ years |
Recruitment & Credentialing Support | Field staff sourcing and screening, interview coordination, credentialing and license tracking | 1–2+ years |
Patient Services Specialist | Scheduling support, patient and caregiver communication, visit confirmations | 1+ year |
Insurance Verification Specialist | Eligibility and benefit verification, coverage confirmation ahead of the admission visit | 1+ year |
Billing / RCM Specialist | Pre-billing documentation checks, order signature verification, claim-readiness flagging | Under 1 year |
If billing preparation is your primary need rather than a secondary one, raise it early on the call. That is the newest part of our WellSky bench. Still, I would rather tell you now than have you discover it in week three.
If the role you need is not on this list, ask anyway. The list reflects where Phoenix’s WellSky depth currently sits, not the limit of what a WellSky-trained Phoenix virtual assistant can support.
What Phoenix Virtual Assistants Actually Do Inside WellSky
Scheduling and visit coordination
This is our deepest bench, and it reflects where home health agencies lose the most hours. In fact, scheduling in WellSky is not a weekly task. Instead, it is a continuous reconciliation between what was planned and what is actually happening in the field.
Scheduling Support Inside WellSky
Confirming upcoming visits against the authorized frequency in the plan of care. |
Rescheduling visits and updating assignments directly in WellSky as changes come in. |
Working same-day caregiver callouts on your defined coverage protocol. |
Identifying unstaffed and unconfirmed visits and escalating them before they become missed visits. |
Keeping the schedule and documentation in agreement so billing isn’t chasing discrepancies later. |
Producing a daily open-visit report for your scheduler or clinical manager. |
For the broader scheduling workflow, see our post on how home health agencies fix scheduling chaos with virtual assistants.
Documentation and OASIS QA
This function needs a precise description, so here it is. Our OASIS QA VAs perform a completeness and consistency review. First, they confirm every required field is answered. Next, they identify blanks and internal contradictions. Then, they check that the assessment matches the visit note and plan of care. Additionally, they track submission timing against your deadlines. Finally, they flag anything questionable for your clinician to review.
They flag, but they do not resolve. Phoenix virtual assistants do not evaluate clinical accuracy. Also, they do not select or revise M-item responses. Nor do they make scoring judgments. Those are clinical determinations that belong to your licensed staff, and no amount of platform experience changes that.
OASIS and Documentation QA Support
Reviewing OASIS assessments for completeness; every required field is answered. |
Identifying internal inconsistencies and contradictions for clinician review. |
Checking that documentation is present and consistent with the plan of care on its face. |
Tracking assessments against submission deadlines and flagging what is at risk. |
Routing flagged items to the assigned clinician with the specific concern noted. |
Maintaining a documentation status log your QA lead can review at a glance. |
A virtual assistant who catches a blank field on day two saves you a correction on day thirty. A virtual assistant who guesses at a clinical answer creates a problem no correction fixes. We train hard on the difference.
Intake, referral, and insurance verification
Intake is where a referral either becomes an admission or quietly goes to a competitor instead. Usually, the difference is response speed, not clinical capability. Likewise, verification sits in that same window and often determines how fast everything downstream moves.
Intake Support Inside WellSky
Logging incoming referrals in WellSky on the day they arrive |
Verifying insurance eligibility and benefit coverage before the admission visit |
Collecting and organizing required intake documentation |
Following up with referral sources on missing information |
Preparing a complete referral packet for clinical review |
Reporting referral status and aging to your intake supervisor |
Our deeper walkthrough of the intake workflow is here: how home health agencies use virtual assistants for patient intake.
Field staff hiring and credentialing support
To be clear, these virtual assistants support your agency’s hiring of your own field staff. They are not Phoenix recruiters. Still, field turnover is a constant in home health. As a result, these virtual assistants source and screen candidates against your criteria and coordinate interview scheduling. They also follow up on credentialing documents and track professional license expirations. Additionally, they keep onboarding files complete so your hiring manager can make decisions instead of assembling paperwork.
What You Will Want to Know Before You Call
These are the questions every administrator asks once the capability question is settled. Answering them here saves you a call to find out.
The Practical Answers
Availability. Our home health virtual assistants experienced in WellSky are available for placement now and are not currently assigned to other agencies. |
HIPAA. Every Phoenix virtual assistant is HIPAA-trained before placement, covering PHI handling, secure communication, and documentation standards. |
Business Associate Agreement. We can execute a BAA between your agency and Phoenix VS, and directly between your agency and the individual virtual assistant. Both are standard for us. |
Screening. Every virtual assistant goes through employment verification as part of hiring, confirming prior work history and references. |
System access. Our virtual assistant works under your WellSky user license, which you provision and control. Phoenix VS does not hold separate access to your system, so you can revoke it at any time without going through us. |
Coverage hours. Our virtual assistant works the hours your agency needs, including US business hours and early-morning coverage for same-day callouts. Schedule is set to your operation, not ours. |
Engagement model. Full-time is standard. Part-time is available at a 20-hour weekly minimum. |
Pricing. Rates range from $10 to $13 per hour depending on function and depth of experience. A virtual assistant with several years in WellSky and one newer to the platform are not priced the same. |
The system access point is worth a second look, because it cuts in your favor. Since the virtual assistant works under your license, not a Phoenix VS account, your IT and compliance leads keep full control. They oversee provisioning, permissions, and the audit trail. In short, access ends when you say it ends.
Working with your Phoenix VA
Once an agency is satisfied that a VA knows the platform, the next set of questions is about the working relationship. Here are the answers before you have to ask.
The Working Relationship
Where your VA is. Phoenix VAs are based in the Philippines and work from home. We say that plainly rather than letting you find it out on the third call.
Hours and holidays. Your VA works US hours and observes US holidays. Plenty of offshore providers quote you US coverage and then go quiet on the fourth Thursday in November, or for a week in April. Your coverage does not disappear on a day your agency is open. Ask any vendor which holiday calendar their staff actually follows.
Dedicated, not shared. Your VA is assigned only to your agency. She is not split across multiple clients, and she is not a pooled resource you file tickets with.
Communication. Your VA works in whatever tools your agency uses. Internally, Phoenix runs on Microsoft Teams, but the client sets the channel.
Contract terms. Cancel anytime. No minimum term and no lock-in. If we are not earning the engagement, you should not be trapped in it.
If the fit is wrong. Phoenix VS operates a zero-risk replacement policy. If a placement is not working, we replace it rather than asking you to manage around it, and your Client Success Manager usually raises it first.
Patient contact. A Patient Services Specialist can contact your patients directly on administrative matters: appointment scheduling and confirmation, follow-up, and coordination. Administrative only. Nothing clinical, and nothing requiring clinical judgment.
Who supervises. Your VA reports to your internal supervisor and works your queue and protocols. Your dedicated Client Success Manager sits above that, tracking performance against your metrics and raising drift before it reaches your operations.
System access. Your VA works under your WellSky user license, provisioned and controlled by you. Phoenix holds no separate access, and you can revoke it at any time without going through us.
PHI handling. Every VA is HIPAA-trained before placement. A Business Associate Agreement can be executed between your agency and Phoenix VS, and directly between your agency and the individual VA. Security controls are detailed below.
Security: What Sits Underneath "Works From Home"
Work-from-home is the right place for an administrator to press, and a vague answer here should cost a vendor the deal. Here is exactly what is in force.
Security Controls
Uniform controls. Endpoint monitoring and enforced patching apply to every machine used for your work, regardless of who owns it. The controls do not weaken because a device is personally owned.
Devices. Your VA can work on a device your agency issues, one that Phoenix VS issues, or her own. Your agency decides which, and you can require issued-only if your policy demands it. Ask a vendor whether their security controls change when the VA uses her own laptop. If the answer is yes, or if the answer is unclear, you have learned what you needed to know.
Workspace verification. Phoenix checks the VA’s workspace for security. This is not a self-attestation on a form.
Network. Phoenix provides the VPN. Work is not conducted over an unmanaged home connection.
Patching. Security patches and operating system updates are enforced rather than left to the individual.
Training. HIPAA training is completed before placement, covering PHI handling, secure communication, and documentation standards.
Access. Your VA works under your WellSky user license. You provision it, set permissions, maintain the audit trail, and can revoke it without going through Phoenix VS. Ask a vendor what happens to their access when you terminate. If the answer involves emailing someone, that is not access control; that is a promise.
The Only Test That Actually Proves Platform Experience
Every vendor you talk to this month will say their people know WellSky. Most will offer a number. Here is what I would do in your position, with us and with anyone else you are considering.
Ask Before You Sign — Use These On Us Too
Ask to meet the specific virtual assistant who would be assigned to you before you commit; not a manager, not a sales lead. |
Ask how long she has worked in WellSky and what she did in it at her last agency. |
Ask which parts of the system she works in daily, e.g., scheduling, intake, documentation, QA. |
Ask her to walk you through a task in your workflow, and listen for whether she knows where things live. |
Ask what she does when something looks clinically wrong, and listen for a hard boundary in the answer. |
Ask who watches her performance after placement, and what happens if the fit is wrong in week three. |
Our answer to that last one: Phoenix VS operates a zero-risk replacement policy. If a placement isn’t working, we move quickly to replace it rather than asking you to manage around it. Your Client Success Manager usually raises it first.
A vendor who will not introduce the actual virtual assistant to you before you sign is asking you to take the rest on faith. We will introduce ours, because we would rather you evaluate the person than the claim.
Why WellSky Experience of Virtual Assistant Is Worth Paying Attention To
In fact, the cost of an inexperienced virtual assistant is not the hourly rate. Instead, it is the ramp-up, and your senior staff pays for the ramp-up in time. Someone must sit with the new virtual assistant in the system, answer questions, correct entries, and re-check work for the first stretch. That someone is your scheduler, your clinical manager, or your QA lead. The invoice looks cheaper. The month does not.
A virtual assistant with real years in the WellSky platform opens the system on day one and knows where things live. Your team spends its onboarding energy on your workflows, your escalation thresholds, and your standards instead. That is the part that has to be taught, because it is specific to you.
An Extension of Your Team, With Oversight Above It
Phoenix VS places its WellSky-experienced virtual assistant as an extension of your on-staff team. She works your queue, templates, and protocols, and reports to your supervisor. She does not run a separate process and hand you output at the end of the day.
Above that sits your dedicated Client Success Manager, who functions as an extension of your management oversight. Your CSM tracks productivity and quality against the metrics that matter for your agency. These include visit confirmation rates, referral response time, documentation flags raised and resolved, and escalation timeliness. Your CSM also raises drift with you before it shows up in your operations. Placement without oversight always drifts, which is why we do not sell it that way.
Frequently Asked Questions
What is a WellSky-experienced virtual assistant?
A WellSky-experienced virtual assistant is a remote administrative professional with experience working within the WellSky platform to support home health operations. Phoenix virtual assistants experienced in WellSky work in scheduling, visit coordination, documentation, and OASIS QA. They also support intake, referral coordination, insurance verification, field staff hiring, and billing preparation. More than nine in ten have at least a year on the platform, and more than half have two years or more.
Will I have to train a Phoenix Virtual Assistant on WellSky?
No. That is the point of a platform-experienced bench. Instead, onboarding focuses on your agency’s workflows, escalation thresholds, and documentation standards, not on teaching the software.
Can I meet the WellSky-experienced Virtual Assistant before I commit?
Yes, and we recommend it. Ask to speak with the specific virtual assistant who would be assigned to you. Ask how long she has worked on the WellSky platform and what she did on it previously. Then ask her to walk through a task in your workflow. A conversation proves platform experience in a way no number on a vendor page can.
Do Phoenix Virtual Assistants review OASIS assessments?
Yes, for completeness and consistency. A Phoenix virtual assistant experienced in WellSky confirms that every required field is answered and identifies blanks and internal contradictions. She also checks documentation against the plan of care on its face. Additionally, she tracks submission deadlines and flags anything questionable for your clinician. However, the VA does not evaluate clinical accuracy. Nor does she select or revise M-item responses, because those are clinical determinations for your licensed staff.
Can a WellSky-experienced Virtual Assistant make changes to clinical documentation?
No. Instead, Phoenix virtual assistants perform only administrative and coordination work. They flag, track, route, and escalate. Clinical judgment, clinical content, and care decisions remain entirely with your clinical team.
Are Phoenix Virtual Assistants HIPAA-trained, and can we sign a BAA?
Yes, to both. Every Phoenix virtual assistant completes HIPAA training before placement, covering PHI handling, secure communication, and documentation standards. We can execute a Business Associate Agreement between your agency and Phoenix, or directly with the individual VA.
Whose WellSky license does the Phoenix Virtual Assistant use?
Yours. Phoenix VS provides the virtual assistant under your agency’s WellSky user license, with permissions you set and an audit trail you control. Phoenix VS does not hold separate access to your system, so you can revoke access at any time without going through us.
Can we hire a WellSky-experienced Virtual Assistant part-time, or is it full-time only?
Full-time is standard, and part-time engagements are available at a minimum of 20 hours per week. Coverage hours match your agency’s operating needs, including early-morning coverage for same-day callouts.
How quickly can a WellSky-experienced Virtual Assistant start?
Because platform training is already complete, onboarding typically takes 3 to 5 business days. It covers system access, a workflow review with your supervisor, and a defined ramp-up period managed by your Client Success Manager.
What does a WellSky-experienced virtual assistant cost?
Rates range from $10 to $13 per hour, depending on the function and the virtual assistant’s depth of experience on the platform. There is no flat fee. Instead, a Strategy Call produces a quote based on the specific function and hours you need.
Do you support hospice in WellSky as well?
Our WellSky bench described here supports home health. WellSky’s hospice environment involves different workflows and documentation requirements. So ask about hospice coverage specifically on your call rather than assuming it transfers.
